Why sample approval needs a written checklist

A message saying “sample looks good” does not define the production reference. The buyer and supplier need one record that connects the physical sample to the SKU, quotation, material description, artwork and packaging version. This reduces the chance that a later photo, old catalog image or different color sample becomes the reference by mistake.

1. Confirm product identity and version

Record the supplier SKU, buyer SKU if different, product name, color or style, quotation version and sample date. Keep the product link and clear photos of every side. If the image is a catalog visualization, mark it as identification only and use the physical sample as the approval basis.

2. Measure dimensions and unit weight
