Why sample approval needs a written checklist

A message saying “sample looks good” does not define the production reference. The buyer and supplier need one record that connects the physical sample to the SKU, quotation, material description, artwork and packaging version. This reduces the chance that a later photo, old catalog image or different color sample becomes the reference by mistake.

Use the checklist for in-stock and custom products. For a mixed order, apply it to every materially different construction. The sample box can help compare current styles, but each bulk line still needs its own approved facts.

1. Confirm product identity and version

Record the supplier SKU, buyer SKU if different, product name, color or style, quotation version and sample date. Keep the product link and clear photos of every side. If the image is a catalog visualization, mark it as identification only and use the physical sample as the approval basis.

2. Measure dimensions and unit weight

Measure the actual sample rather than copying a nominal catalog value. Record the measurement method and any acceptable tolerance that matters to the retail pack, display tray or fulfillment parcel. Weigh the product and the packed retail unit separately when logistics cost is sensitive.

If size or weight has not been measured on the current version, keep it marked for confirmation. Do not turn an estimated value into a final specification.

3. Verify material, filling and squeeze behavior

Write the construction in plain language: outer material, filling direction and any components. Compare softness, squeeze resistance and recovery across repeated cycles. The buyer should define the expected feel using the approved sample, because words such as soft, slow rebound or gel-filled can cover different physical results.

4. Inspect surface, seams and leakage

Check the full surface under good light. Look for cuts, thin areas, contamination, tackiness, severe odor, color transfer, uneven finish, loose decoration and visible seam weakness. Squeeze and handle the sample as it will be demonstrated or packed, without performing unsafe misuse tests.

For filled products, inspect for moisture, oil, gel or powder escaping after normal handling. A single clean sample does not replace batch inspection, but a damaged sample should not become the production reference.

5. Approve color, printing and decoration

Compare colors under consistent light and keep a physical or documented reference when color matters. Check face printing, logos, labels, accessories and alignment from several sides. Record which visual differences are acceptable and which are defects.

Do not approve claims, age icons, certification marks or brand graphics simply because they appear in a catalog image. Packaging and product claims must match the final project and applicable requirements.

6. Test the actual packaging configuration

Place the approved product in the intended OPP bag, retail box, display unit or other pack. Check fit, compression, rubbing, visibility, barcode position, inserts and warning space. Then confirm how many retail units enter a shipping carton and request final carton dimensions and gross weight.

Packaging changes can alter both appearance and freight cost. Repeat the fit check when the product, insert or box changes.

7. Separate product approval from compliance approval

A visually approved sample is not automatically approved for every destination market. Identify the intended age grading, sales market, labeling needs and document list with the importer or qualified testing partner. Match reports and certificates to the relevant product, material, factory or production version as applicable.

8. Create the golden-sample record

Photograph the approved sample with the SKU and date. List all approved deviations and unresolved items. Both sides should retain the same written version. If a later change affects material, dimensions, decoration or packaging, issue a new approval record rather than editing the old decision informally.

The production and final inspection plan should refer to this approved record. Review the quality-control process and specify which checks are required before shipment release.
