To source squishy toys from China, work through six decisions: define the exact product, verify the supplier's role, approve samples, compare complete quotations, agree on inspection and packing, and confirm the shipment handoff. Each decision should produce a written record that the next person can use.
The goal is a purchase that can be checked from sample to shipment. A product photo and a price per piece are useful starting points, but they leave too much unspecified for a bulk order.
Start with the wholesale squishy catalog for existing styles. Use custom squishy sourcing when the brief includes a logo, new packaging or product development.
Choose your sourcing route before requesting prices
- Existing catalog product: send the exact variant and desired piece count, then confirm current availability, standard packing and samples.
- Existing product with branded packaging: identify the same SKU and separate the packaging brief, artwork approval and printing minimum from the product quantity.
- New shape or construction: send a drawing, dimensions and target feel; request a feasibility review and separate development, tooling and sample costs before comparing production prices.
For a first assortment, the first-order buying plan helps narrow the selection. Once the route is clear, use the toy RFQ template to send the same requirements to each supplier.
The six records to prepare
| Buying stage | Record to keep | Decision it supports |
|---|---|---|
| Product shortlist | SKU, variant, quantity and selling unit | Everyone is discussing the same items |
| Supplier review | Company identity, responsibilities and supporting evidence | You know who controls each part of the order |
| Sample approval | Sample reference, specification and approval notes | Bulk production has an identifiable target |
| Quotation comparison | Included costs, exclusions and agreed delivery basis | Prices can be compared fairly |
| Production and packing | Inspection scope, artwork version and carton plan | Changes are resolved before shipment |
| Freight handoff | Final packing list, receiving address and responsibilities | The forwarder receives the expected goods and records |
1. Turn your product shortlist into order lines
Record a separate line for every size, color or product version that changes what the customer receives. State the quantity in the same unit as the price: individual piece, complete set or display unit.
Use this compact brief for each line:
- Product link and supplier SKU.
- Selected variant and any agreed style ratio.
- Quantity and price unit.
- Unit packaging or display requirement.
- Destination and required receiving date.
- Intended sales channel and age group.
“Two hundred assorted squishies” does not explain whether the buyer expects selected characters, a fixed mix or random contents. The pieces, sets and displays guide helps keep these counts consistent.
2. Verify what the supplier is responsible for
Ask which activities the supplier performs directly and which involve partners. Product manufacturing, decoration, retail packaging and shipment coordination may have different owners.
Review current product media, company details, sample availability and relevant order evidence. Request an explanation when the company or model on a document differs from the one in the quotation. For a closer supplier review, use the manufacturer evaluation checklist.
Ruiwo's factory information and customer stories provide supporting context. Your exact sample, specification and purchase terms still need their own approval.
3. Approve a sample that represents the proposed order
A showroom sample may help you select a shape while leaving the filling, color or packaging undecided. List those differences before approval. Ask which parts of the sample represent the planned order and which require a later confirmation.
Compare the selected sample for identity, dimensions, weight, handling, finish and packed presentation. Use the same observations across suppliers. Keep the approved sample reference with the purchase record so a later photograph cannot silently replace it.
If you need to compare different constructions, use the PU, TPR and flour-filled comparison, then prepare a sample selection request.
4. Compare quotations on one specification
Before comparing totals, check that every supplier has quoted the same product version, quantity and pack. Record whether sample work, artwork, tooling, packaging, testing and logistics are included or separate.
Do not leave an unanswered item as zero in your comparison sheet. Mark it “not quoted” and ask for clarification. A quotation with a lower product price may cover a different package or omit a required service.
MOQ can also apply at different levels: the overall order, product, color or printed package. Ask which minimum applies to each order line. Use the quotation comparison guide for the detailed side-by-side review.
5. Set the approval and inspection checkpoints
Connect the production plan to the approved sample, packing specification and artwork version. A change in filling, decoration or packaging should be identified and resolved before the changed goods are released.
Agree on what the pre-shipment review will check, who will review the findings and what happens if a problem remains open. The squishy inspection checklist covers product identity, workmanship, quantities and packing records.
Assign destination-market document review separately. A visual inspection cannot establish chemical compliance or prove that a test report covers a changed product. Use the testing-document support page to define the documents needed for the selected SKU.
6. Confirm the handoff using final packing data
Ask for carton count, packed dimensions, gross weight and quantity by SKU after the packing method is finalized. Give this version to the forwarder. If the package or carton count changes, update the logistics quotation before relying on the earlier estimate.
Ruiwo can coordinate with a buyer's China freight forwarder, confirm the receiving address and arrange the agreed China-side handoff. State the service scope in the quotation. International freight, destination handling and other charges should be identified by the parties responsible for them.
Work backwards from the required receiving date. Production completion and arrival at your warehouse are different milestones. For seasonal buying, resolve any gap before confirming the order.
Make seasonal and texture requirements explicit
For a Christmas order or Halloween order, state the date stock must be ready at your location and request separate approval, dispatch and delivery milestones. A catalog listing alone does not confirm a delivery commitment for your quantity.
For crunchy squishies, identify the internal texture and filling separately from a crackable wax coating on the outside. Request the exact variant rather than approving a substitute from a similar shape or sound alone.
A short sourcing brief you can reuse
We are sourcing the linked SKUs for our stated destination and sales channel. Please quote the listed quantity per variant and identify the selling unit, outer material, filling, unit pack and carton configuration. Please separate one-time charges and logistics, identify any unresolved items, and confirm the sample-approval and dispatch milestones for our receiving-date requirement.
Attach the actual SKU list to this message. Build your inquiry list or contact Ruiwo with product links, quantities, packaging needs and destination. That gives the supplier a clear basis for a written quotation and sample plan.
