Short answer: Turn an approved squishy toy quotation into a controlled purchase order that a supplier can produce without reconstructing key requirements from chat history.
A good squishy toy purchase order turns an approved sample into one unambiguous production instruction. Each line needs the exact SKU, variant, quantity, package, delivery route and quality reference.
| PO block | Required information |
|---|---|
| Product | SKU, style, size, filling or body material, colour and approved sample ID |
| Quantity | Pieces by style/colour, carton plan and mixed-style rule |
| Package | Retail unit, artwork version, barcode, warning copy and inner/master pack |
| Delivery | Destination, Incoterm and named place, dispatch window and inspection point |
| Documents | Invoice, packing list, test reports and market labels required for the SKU |
Request a PO checklist using the final quotation and sample record.
Start from one quotation version
Copy the accepted quotation or proforma invoice version into the PO. Record the transaction entity, buyer billing details, currency, unit and package basis, Incoterm, payment milestone and production completion target. If a package or quantity changes, issue a new revision instead of leaving an old price beside a new specification.

Identify the selling unit
“Rabbit squishy” is not a complete line. Write the supplier SKU, buyer SKU, size, colour mix, filling or body construction, unit package and pieces. A TPR skin with flour, a TPR skin with gel and a PU foam body must be separate lines because their feel and inspection points differ.
Attach the approved sample
Write the sample code, approval date, photos and artwork revision on the PO. A pre-production sample may show a new colour or print; state which features are approved and which are still in development. Keep one reference sample for receiving and inspection.
Write assortment ratios in pieces
Replace “assorted” with a count: 240 pieces total, four colours, 60 each. For a mixed carton, show each SKU line and the carton ID. State whether colours can mix when colour is the only difference; different sizes, shapes or fillings remain separate order lines.
Lock packaging and artwork
- OPP bag, hang card, retail box or display box.
- Artwork filename and revision.
- Barcode and warning/age label files.
- Pieces per inner and master carton.
- Carton mark format and country-of-origin requirement.
Packaging changes carton dimensions, freight and sometimes MOQ. A new artwork file with the same filename is a common source of wrong printing.
Filled PO line example
| PO field | Example entry |
|---|---|
| Supplier / buyer SKU | RIVO-AUG26-032 / [buyer SKU] |
| Construction and variant | TPR + flour, approved colour [name], sample [ID/date] |
| Quantity and pack | 12 pieces per style; [Factory confirmation] pieces per inner/master carton |
| Artwork and label | Artwork Rev [letter], barcode [value], age/warning panel [approved file] |
| Release reference | Quotation [number/date], inspection plan [version], Incoterm [term/place] |
Use the same line in the proforma invoice and packing list so a receiving team can reconcile the physical carton without guessing.
Point to the quality reference
Reference the approved sample, written specification, inspection plan and any agreed AQL or defect definitions. For squishies, list leakage, open seams or plugs, surface tackiness, print alignment, rebound, odour, quantity and package integrity as practical checks.
List documents and delivery details
Write the destination country, port or warehouse, Incoterm and named place, required arrival date, inspection timing and documents. Product testing and label requirements are specific to the market and exact version; keep the applicable report or declaration with the PO record.
Use a final release check
| Release question | Pass condition |
|---|---|
| Can the warehouse identify the goods? | SKU, carton map and package are explicit. |
| Can production identify the sample? | Sample ID, photos and artwork revision are attached. |
| Can finance reconcile the invoice? | Quantity, unit, currency and total match the accepted quotation. |
| Can the importer prepare clearance? | Destination, Incoterm and document list are written. |
FAQ
Is a product photo enough for a PO?
No. Pair the photo with SKU, size, material or filling, colour, package and sample ID.
Can a PO combine several colours?
Yes, when the colour is the only changing variable and the piece ratio is written. Different construction or size needs a separate line.
Prices, MOQ and final package data follow the current quotation and approved order revision.
