When sourcing squishy toys for Great Britain, prepare one handoff file that connects the exact product, importer, retail package and delivery plan. A supplier quotation is only one part of that file. Before committing to an order, identify who reviews the product evidence and who decides that the goods are ready for sale.
This guide concerns England, Scotland and Wales. It is a purchasing workflow, not a determination that any RUIWO SKU complies with the applicable rules. Northern Ireland requires a separate market review.
Specify the destination market before requesting documents
The official Great Britain toy guidance distinguishes GB from Northern Ireland and sets out separate manufacturer, importer and distributor duties. It describes importer checks on conformity assessment and documentation, importer identification and the need to preserve compliance during storage and transport. It also explains that relevant hazard and safety information must be provided in English. Review the current guidance with your compliance adviser for the exact product and supply chain.
For the procurement file, record whether the delivery address and intended sales market are the same. A warehouse address alone does not explain where the product will ultimately be offered. If a distributor plans onward sales into other markets, identify those destinations before artwork approval.
Make each selected SKU identifiable outside the catalog
Send the supplier a product list containing the SKU, chosen size or colour, quantity in pieces and retail packing unit. Request current photos showing the product and complete package. Avoid relying only on a collection image or the phrase “same as your website,” which can leave the actual variant unclear.
Create a document index for the selected configuration. Record the document title, issuer, date, model identifiers and the reviewer assigned to check it. Use an ownership table for the handoff

This is a coordination table. It does not transfer statutory responsibilities to a supplier simply because a supplier provides a file or agrees to print a label.
Approve the whole package before bulk packing
Reserve artwork space for the information your reviewer has identified. Ask for photos of every relevant panel of the packed sample, not just the front logo. Check that a sticker, sleeve or display tray does not cover information the buyer needs to inspect.
Keep the approved artwork file and sample photos together. Ask the supplier to identify any change that would affect this approval, including a different package size or product version. Do not copy a label from a previous order without comparing the product and market scope.
Quote delivery to the place you actually need the stock
Give the forwarder the delivery postcode, receiving arrangement and whether the destination is a warehouse, shop or another facility. Ask for a written list of included and excluded services. Confirm with the forwarder or broker who handles the import declaration and which cost items need separate estimates.
Keep product cost, freight, handling and other confirmed charges in separate rows. Define the release decision before the cartons arrive
Agree where incoming cartons will be held while quantities, package versions and paperwork are checked. Record discrepancies by carton and SKU. Keep a named contact for product questions and a separate contact for transport issues so a missing document does not become an unanswered freight claim.
For a hypothetical shop launch, work backwards from the date stock must be ready on the shelf: receiving review, delivery, dispatch and sample approval are separate milestones. Ask each participant to confirm its part rather than treating a departure estimate as the shelf-ready date.
